Licensing

Each company has one license. It defines which functionality is available and how many users, projects and project versions the company may have. The license is viewed and applied on the company card: Settings → My company, or Settings → Companies → a company for a Super administrator.

License types

Type Users Projects Project versions Restrictions
Basic 1 1 1 Data marts, IP filtering and the audit log are not available
Professional 5 10 30 Full functionality
Enterprise Separate limits for developers and analysts, unlimited unless set Unlimited Unlimited Full functionality
No license — — — Work in the company is not possible until a license is applied

With Basic and Professional the limit is a single total for all users of the company. An Enterprise license counts users in two groups instead and may limit each group on its own.

User types

A user belongs to one of two types, which follows from the global role assigned in the company:

Global role User type
Super administrator Developer
Administrator Developer
Project manager Developer
Developer Developer
Analyst Analyst
Viewer Analyst

Changing a user's role moves that user between the types, so a role change is checked against the limits in the same way as adding a new user.

Enterprise user limits

In the cloud version a Super administrator sets the limits in the Edit license dialog on the company card. The two rows appear only for the Enterprise type and are hidden for Basic and Professional:

Field Description
Developers (used) Read-only count of the Developer-type users in the company
Developers (max) Maximum number of Developer-type users. A whole number greater than 0
Analysts (used) Read-only count of the Analyst-type users in the company
Analysts (max) Maximum number of Analyst-type users. A whole number of 0 or greater

A hint on the input reads "Leave empty for unlimited" — an empty maximum removes the limit for that type, and the license information then shows the infinity sign instead of a number. Enterprise licenses that already existed before the limits were introduced keep both types unlimited until a maximum is entered.

In an on-premises installation the limits are part of the .lic file and are not edited in the product: the file is issued with the developer and analyst maxima already set, and the values are shown read-only when the file is uploaded.

License statuses

Status Meaning
Active The license is valid, the dates are in range and the limits are not exceeded
Disabled The usage limits are exceeded while the validity period is still valid — including the developer or analyst limit of an Enterprise license
Expired The validity period has ended, the dates are incorrect, or the signature is invalid

The status is recalculated automatically when the license is replaced, when a user's role changes, and whenever users, projects or versions are created or deleted. On the company card and in the company list the status is shown as an icon whose hint explains the state: "License valid", "License limits exceeded", "License period not started", "License expired", "Invalid license signature", "License not applied".

Viewing the license

The company card contains a read-only License field which shows "Type "{type}", validity period from {start date} to {end date}", or "No license" when none is applied.

The View license button opens the License information dialog:

Field Description
License type The applied type
Start date The beginning of the validity period
End date The end of the validity period
Users Current usage against the limit, in the form "{current} of {max}". Shown for Basic and Professional
Developers Current number of Developer-type users against the limit. Shown for Enterprise instead of Users
Analysts Current number of Analyst-type users against the limit. Shown for Enterprise instead of Users
Projects Current usage against the limit
Project versions Current usage against the limit

For an Enterprise license the projects and project versions limits are shown as the infinity sign, and so is a user limit that has been left unlimited. A warning icon appears next to any counter whose limit is exceeded.

The dialog is closed with Close.

Applying a license

In an on-premises installation the license is delivered as a .lic file. Uploading is available to a Super administrator and an Administrator.

  1. Click Upload license file on the company card and select the file. The file must be no larger than 1 MB
  2. The system verifies the file and opens License information showing the contents of the new license next to the current usage
  3. Click Apply

Additional confirmations before the license is applied:

Situation Confirmation
The current usage exceeds the limits of the new license "The actual usage of the product in this company exceeds the limits of the applied license. Work in this company will be restricted until the excesses are resolved. Are you sure you want to apply this license?"
The validity period has not started yet "The license period of the applied license has not yet started. Work in this company will be impossible until the start date of the license. Are you sure you want to apply it?"

The first confirmation also appears when the company already has more developers or analysts than the new license allows — the license is applied, takes the Disabled status, and stays there until the excess is resolved.

Upload errors are reported with a notification that offers the Upload a new file action:

Message Cause
"The uploaded license file is invalid" The file is not a license file or cannot be read, or its contents or validity period are not acceptable
"Invalid license signature" The digital signature of the file did not pass verification
"The license file contains invalid user limits" The developer or analyst limit in the file is not a valid number
"This license has already been applied" The same license file has already been used

A rejected file can be selected again right away. If the file is accepted but the company's current usage cannot be loaded for License information, the notification "Could not load the company's current license usage. Please try again" appears without the Upload a new file action.

The same file cannot be applied to two companies at once. To move a license, delete it from one company and upload it to another. To replace a license, upload another file — there is no separate replacement action.

Deleting a license

The Delete license button asks for confirmation: "Are you sure you want to delete the license for this company? Work in this company will be impossible until a new valid license is applied".

When a limit is reached or the license is invalid

While the license is missing, expired or suspended, or when a limit has been reached:

  • The buttons that create objects are hidden or disabled — for connections, users, the metrics catalog, verification filters and IP addresses
  • An attempt to create an object reports the limit: "Users limit exceeded: {current}/{max}", "Projects limit exceeded: {current}/{max}", "Versions limit exceeded: {current}/{max}"
  • With an Enterprise license, adding a user or changing a role is refused per user type: "Developer number limit reached: {current}/{max}" when the developer limit is reached, and "Analyst number limit reached: {current}/{max}" when the analyst limit is reached
  • Other operations are refused with "This feature is not available with your current license. Please contact your administrator for details", "Your company's license is invalid. Please contact the administrator for more details" or "Your company's license has been suspended. Please contact the administrator for more details". For administrators the notification carries the Check License action, which opens the license information
  • The Security and Audit log screens are unavailable with the Basic license and without a license; a Super administrator keeps access to the audit log

Deleting users or objects frees the corresponding slots, and moving a user to a role of the other type frees a slot of the first type. Once the counts are back within the limits, the status returns to Active by itself. All license operations are recorded in the audit log, including the user limits that were changed.
