User management
Accounts are managed from a user list. An Administrator works with the users of their own company; a Super administrator works with the users of all companies.
Where the user list is
| Screen | Contents | Available to |
|---|---|---|
| Settings → Users | User list — all users of all companies, with a Company name column | Super administrator |
| Settings → My company | Company users — the users of your own company | Administrator, Super administrator |
| Settings → Companies → a company | Company users — the users of the selected company | Super administrator |
The list
| Column | Description |
|---|---|
| #ID | Account identifier |
| Company name | The user's company. Only on the Users screen |
| First name | Given name, filled in by the user during activation |
| Last name | Family name, filled in by the user during activation |
| The address that is also the user name | |
| User role | The role in the company |
| Last login date | Date and time of the most recent sign-in. Empty if the user has never signed in |
| Status | Account status. Shown to administrators only |
| Actions | Editing and deleting the user |
Working with the list:
- Sorting — by any data column, by clicking its header
- Search and filtering — the magnifier icon in a column header opens a filter: a text field for #ID, Company name, First name, Last name and Email; a dropdown for User role and Status; a date range for Last login date. Filters are applied with Search and cleared with Reset, and an active filter is highlighted in the header
- Pagination — the list is split into pages; the page size can be changed
- If nothing matches, the list shows "No users found" together with the Clear search action
Adding users
The Add users button above the list opens the Add users dialog. It is built the same way as the dialog for adding members to a project: a list of user rows, where each row is one invitation, and the Add more button under the list. On the Users screen a company selector comes first.
| Field | Requirements |
|---|---|
| Company name | Only on the Users screen — the company the users are added to. Saving is blocked until a company is selected |
| User email | Required, must be a valid address and must not repeat another row. The messages are "Required field", "Enter a valid email address" and, on a duplicate, "Provide a unique email address" |
| User role | Required. One of Administrator, Project manager, Developer, Analyst, Viewer. The Super administrator role is not offered |
Working with the rows:
- Add more adds another row with the Developer role selected
- The delete button next to a row removes it. The dialog always keeps at least one row: deleting the only row replaces it with an empty one
- The first row is pre-filled with the Developer role. On the Company details and My company screens, when the company has no users yet, it is pre-filled with the Administrator role instead
- The role of any row can be changed before saving
Save sends the invitations. Save is blocked while any row is incomplete or invalid. If the address already belongs to an account, the message "User {address} already exists" appears.
License limits: the Add users button is unavailable when the license is missing, invalid or suspended. When the user limit is reached, adding is rejected with "Users limit exceeded: {current}/{max}"; the notification offers the Check License action, which opens the license information.
Editing a user
The edit action in the row opens the Edit user dialog.
| Field | Description |
|---|---|
| First name, Last name | Required |
| Required, must be a valid address. Changing it notifies the user by email | |
| Company | Moves the user to another company. Shown to a Super administrator only |
| User role | The role in the company. Cannot be changed for your own account |
| Status | The account status, see below. Cannot be changed for your own account |
| Lockout duration | Shown when the status is set to Locked: 5 minutes, 15 minutes, 1 hour, 24 hours or forever |
| Time to unlock | Read-only countdown until an existing lockout expires. Shows the infinity sign for a permanent lockout |
Only the fields you changed are submitted. A successful save is confirmed with "User info changed successfully".
Limitations:
- The edit action is not available for an account with the Super administrator role
- You cannot change your own role or status
- The status of an account with the Not activated status cannot be changed, and the Not activated value cannot be assigned manually
Statuses, blocking and unblocking
| Status | Meaning |
|---|---|
| Enabled | An active account; signing in is allowed |
| Disabled | Deactivated by an administrator; signing in is denied regardless of the password |
| Locked | Locked because of failed sign-in attempts or by an administrator; signing in is denied until the lockout is lifted |
| Not activated | An invitation has been sent, the registration has not been completed |
- To block an account permanently, set the status to Disabled. On the next sign-in attempt the user sees "User is disabled. Contact the administrator to restore access", and password recovery does not work for such an account
- To block it temporarily, set the status to Locked and choose a Lockout duration. The user receives an email stating that the lockout was set by an administrator and how long it lasts
- To unblock an account, set its status back to Enabled. A lockout is also lifted automatically when its period expires, or when the user sets a new password through password recovery
- Automatic lockouts caused by failed sign-in attempts follow their own escalating schedule, described on the section landing page
Deleting a user
The delete action in the row asks for confirmation: "Are you sure you want to delete the user? This user will lose access to the system". After confirmation the account is removed and the message "User deleted successfully" appears.
Limitations:
- You cannot delete your own account — the warning "You cannot delete your own account" appears instead
- You cannot delete an account with the Super administrator role — the warning "You cannot delete a super administrator account" appears instead
Deleting a user frees a user slot in the company license. All user management operations — adding, editing, role and status changes, lockouts and deletions — are recorded in the audit log.
